SR. STAFF MEETING MINUTES

10/13/04

Quality – We are at 93% statewide. As of yesterday, we have not yet received a return this quarter. We are on a very good trend.

Discussion took place as to where we stand by module for the CDear cases that need to be reassigned. Reassign 3 cases per day for next week. We would like to have all CDear cases reassigned by the end of October. There should be significant production in the next couple of weeks. We will continue handing out the Maryland Recon cases. Have made real progress – there were about 1000 Maryland Recons handed out last week. We need to put the New Jersey cases on separate PINs from the Maryland cases. Let Mary Ann know what these PIN numbers are.

Overtime – There is no official word on extending OT hours. Today, Wednesday, is the last day. We will resume weeknight overtime for one week only – that will be October 21-27. If interested in working, you need to work a minimum of 5 hours OT for the five days. Send Analyst interest to Mary Ann and Clerical interest to Mayda. Gloria is looking to be given a certain number of OT hours to be worked through the end of December, and then she will allocate these hours by PC. Right now our Saturday OT would be scheduled for November 6 and November 20 – that will probably change. We will have more hours allocated for analysts than for clerical. The focus of the OT will be working on reducing pending and aged cases. Send any suggestions you may have for working overtime regarding reducing the pending and aged case workload to the ARA’s. This is all subject to SSA giving us the hours.

There are no real changes in the distribution of workloads in the short term for us. This could change sometime next year when Edib starts in Albany. It will all depend on how fast Edib comes along. We will be doing fewer CDR’s until we can get some more staff.

There are no significant backlogs in Medical Review right now.

Gloria was here last week and gave us an update on Edib. There have been no changes since then.

800# operators – Tomorrow begins the pilot in Manhattan, so the rollout is beginning.

We will be getting 3 Keyboard Specialists as transfers. They will be starting here 10/21. Mark will send out a memo as to where they will be assigned.

The QCS orders from 10/7 that we haven’t received should be coming shortly.

There are two training sessions scheduled. Next Tuesday, 10/19, Disability Topics is scheduled from 9:00 – 10:00 AM and 1:00 – 2:00 PM in the 2nd Floor Training Room. One person from each unit should attend. The mandatory training scheduled for the Supervisors and Managers has been tentatively rescheduled from next Thursday, 10/21, to Monday and Tuesday, November 1 and 2. There will be two sessions of 3 to 3 ˝ hours each. Kay Jablonka will be giving this training on Communication and Motivation.

There is a posting for the Assistant to the Principal Clerk on the 3rd floor. All Clerk 1’s and Keyboard Specialists are eligible to apply.

DHS is required to provide a strategy for the transition of their exit plan by the middle of next week.
