SR. STAFF MEETING MINUTES

10/20/04

Attending: Lucille Brocato, Gary Deming, Judi Diefendorf, Bob DiPillo, Jim Ernst, Ben Fairley, Nancy Hall, Fred Hitchcock, Tom Keenan, Christine Pedreschi, Sheila Sheridan, Sharisse Snyder, Barb Stanko, Barb Westbrook, Tom Yull, Pam Marten, Mary Ann Rodriguez, Mayda McInnis, Mark Diefendorf, Sandy Wright

Quality – Statewide quality is at 94.3%. We have had 2 returns so far this quarter – we are around 90.6%. Things are continuing to go well.

OT – There is weeknight overtime starting tomorrow, 10/21, and will last through 10/27. There are only 1 – 2 people working per module per night. Do as much C Dear stuff Thursday and Friday as you can. Let Mayda and Mary Ann know if you have other cases that can be taken care of during overtime – expedite old cases, etc. Make sound decisions on those cases you may be working on that are not CDR’s. For the upcoming Saturdays scheduled for overtime, right now there are approximately 3 people per module per Saturday scheduled with a minimum of 30 people per week. We have given out a lot of C Dear and Recon cases, and we want to work on reducing the pending and aged case loads. Each Module Manager should submit a plan of what will be worked on in their module the first Saturday of OT to the ARA’s.

Maryland RC’s Still to be Assigned – Mod A has 268 of which 150 will be transferred upstairs. Mod B has 220 cases and 75 of these will go to Mod X. Mod C has 140 Recons left and 75 of these will go to Mod Z. Mods W, X, and Y have zero until they get the transferred cases. Mod Z has 46 cases until they get the transferred cases. The giver will be moving these cases.

C Dear Still to be Assigned – We are down to small numbers – less than 150/module. Make sure you know exactly what is left to be handed out.

There are staff changes coming up for Clerical tomorrow and Monday for the Analysts. The Change of Status form needs to be filled out for each move. The unit the person is going to should fill this out so they can provide the new phone number, etc. This form can be found in the Shared Drive under General Office.

When people are moving between regions, make sure Lucille Brocato or Barb Stanko is given all the necessary information.

Lucille is doing the DF30 training. It is done in Mod A and Medical Review. Will go to B1 next and on from there. Training is going quickly. Start using the electronic version and not the paper. Very shortly the paper version will not be accepted and sent back.

There will be a SAC meeting on Tuesday that Lucille and Barb will be attending.

430 new PC’s arrived today, and we will be setting up for installation November 5 – 7.

The medical backlog was discussed. Fred is to let Mark know the number of Recon cases waiting for medical advice. When a DF30 is sent out and is over a week old, follow up with Fred. In general, the DF30 should be randomly handed out – all doctors should be participating.

Next week, Wednesday, 10/27, from 1:00 – 2:00 PM, STADE will have their Halloween Party.

There have been 245 vouchers returned from DHS – the farthest one back from the first week in September. If possible, try to get any of these vouchers that were handed out back to Gary.

The first CSEA State Labor/Management meeting in 8 years was held yesterday in Albany. It was a worthwhile meeting.
